What is going on

Stewards have advised that stable inspections will take place across the region in September 2026. The Veterinary Liaison and Welfare Manager has asked for the monthly audit of the Treatment and Medication Log by 21 September. The log shows an active withholding period for Northgate Flyer with a trial on 15 September, an ongoing omeprazole course for Kestrel Comet, and a physiotherapy entry marked for review. The Monday stock count of the medication room shows one tube of phenylbutazone paste fewer than the log accounts for. Three horses are nominated for the week of 21 September. Any gap found now is far better than a gap found by a steward.

The September audit of the Treatment and Medication Log is due by 21 September. I want you to reconcile the log against the Monday stock counts, check every horse nominated in the Nominations and Race Entries system against active withholding periods, and confirm that every entry has an authoriser and a clear date. Use the Treatment and Medication Recording Procedure and the Racing Integrity and Prohibited Substances Policy as your standard. Report any gaps to me in writing with a proposed corrective action for each.

Read the Treatment and Medication Recording Procedure and the Racing Integrity and Prohibited Substances Policy and write the audit criteria you will apply to each log entry.
Review every record in the Treatment and Medication Log and list entries missing an authoriser, a withholding period, a clear date or a same-day entry.
Cross-check each horse in the Nominations and Race Entries system against active withholding periods and state which entries are safe to accept and which must be held.
Reconcile the phenylbutazone discrepancy: describe the investigation steps, who you interview and how you record the outcome.
Check the Northgate Flyer joint injection against the 15 September trial and write your recommendation to the Harness Trainer.
Create a corrective entry in the Treatment and Medication Log for one incomplete record, following the no-deletion rule in the procedure.
Draft the audit report with findings, risk rating and corrective actions with owners and dates, and record the actions in the Incident and Hazard Register as hazards.
Prepare a one-page briefing for stable staff on what a stewards' inspection will ask to see and how to answer.
